Why the BDC pilot fails before the first call
The common failure is not voice quality. It is collision. The AI, CRM cadence, salesperson, and BDC rep all contact the same customer because nobody defined ownership.
Write the state machine before launch: new lead, AI contacted, human engaged, appointment set, no-show, sold, lost, do-not-contact. For each state, name who may act and what the customer should experience.
Choose a narrow opening lane
After-hours inbound, overflow, missed-call recovery, and basic appointment capture are clean first lanes. They solve a real coverage problem while limiting the agent’s authority.
Do not start by giving an unproven system every fresh lead and every objection. Earn scope with evidence.
The minimum integration standard
The CRM record should show the conversation, disposition, consent state, appointment details, and the next human owner. If a manager has to reconcile a vendor dashboard with the CRM every morning, the workflow is not integrated.
- Read the right inventory and store facts
- Write back the full disposition, not a vague note
- Stop automated cadences when a human takes ownership
- Escalate pricing, credit, complaints, and uncertainty
Measure the outcome behind the output
Calls answered and messages sent are outputs. The operating outcomes are valid contacts, appointments created, appointments shown, and sales or repair orders influenced. Track opt-outs and complaints beside the wins.
